June 2024 update

Hello all

As football fever grips the nation – well it does in my household – hopefully you have all found time to complete your Data Security & Protection Toolkit return. If you’ve not already competed it please put aside some time this week to get it done.

A few additional items for you to note this month:

  • Firstly, we have a new way for how we would like you to contact us. On your PC or laptop home screen, there is a green ‘report an issue’ button (near the N3i logo at the top right of your screen). Through here, there is a new option titled, ‘Information Governance’ that you can use to report any IG issues directly to us, rather than emailing. It will still only be the IG Team who receive these requests, but it will be a more consistent method for us to keep a track of all the incoming messages. The n3i.dpo@nhs.net will still be available for people who find our contact details from your Privacy Notices.
  • There should be very few, if any, reasons not to email files including very large items. The Egress plug in to Outlook can accept files up to 5Gb, which I can assure you is very large. CDs and USBs to should no longer be used and there should never be a requirement to print out data to post.
  • We have completed our Privacy Notice review. There is a new factsheet on the IG Portal that includes links to an updated Privacy Notice (for those of you who use our template), and a link to a children’s Privacy Notice that is available for anyone to use. Please remember that these are templates that will require editing to include the correct practice information.
  • We mentioned the new Data Protection and Digital Information Bill a couple of months ago. This has now been dropped as it didn’t get through before parliament was dissolved. We’ll let you know if it is resurrected in the next parliament.
  • We are working on getting some updated guidance for adoption and fostering records management. Again, we’ll update you as soon as we have further information.

As always if you have any queries about any of this please get back to us – see first point above.
